The beauty of SurePact is the centralisation and storage of risk, grant, project, and contract documents. The ability to retrieve and use this information efficiently is of paramount importance.
Documents of many types, and from many sources, can really pile up. To save your sanity, it’s crucial to develop a consistent naming convention that includes prefixes, project names, locations, deliverable names, and years. This nifty system will enable you to instantly decipher the essence of a delivery just by glancing at its name.
SurePact users typically go with one of two approaches: according to business area or Project ID.
The following are suggested naming conventions for various types of SurePact records, deliverables, and documents. These are only suggestions - feel free to adjust to suit your needs:
-
Projects: <prefix> <project_name> <location> <delivery_name> <year>
Example: PRJ Playground Renovation Oak St Equipment Installation 2024
-
Contracts: <prefix> <contract_name> <location> <delivery_name> <year>
Example: CTR Landscaping Contract Pine Ave Sod Installation 2024
-
Grants: <prefix> <grant_name> <location> <delivery_name> <year>
Example: GNT Community Support Grant Maple Rd Fund Distribution 2024
-
Assets: <prefix> <asset_name> <asset_type> <location> <delivery_name> <year>
Example: AST Playground Equipment Swing Set Oak St Installation 2024
