Milestones are set up for grants.
When a grant is won, the funding body and recipient sign a funding agreement. This agreement outlines the funding body’s reporting requirements for grant deliveries, and can also trigger grant payouts when deliveries are complete.
Note: Milestones are used when grant payouts are made over time. If a grant is paid immediately as a lump sum, milestones may not need to be created.
Milestones in SurePact are configured by the Grant Manger to correspond with the reporting requirements. Each milestone is a record of submitted reports and documents, with monetary claim values. This makes it possible to keep track of remittance against the milestone.
Each milestone generates a task, some of which may be future dated.
Many SurePact users create planned activities as part of each milestone, so that milestones can link to progress claims. This is one way to track the value of progress claims, and funding received.
As an example, let’s say our funding agreement states that four payouts will be made, on specific dates every three months, assuming the milestone deliveries are completed by those dates. In this case, a milestone would be created for each payout, with names along the lines of:
- Payment Claim 1 – March 31: 25%
- Payment Claim 2 – June 30: 50%
- Payment Claim 3 – Sept 30: 75%
- Payment Claim 4 – Dec 31: 100%
To get started, click the Add icon at the top of the Milestones table.
Assign a name and description for the milestone, the percentage of the total grant amount, and the other required fields of due dates, estimated start and completion dates, and comment / description.
The Delivery Owner is the team member responsible for completing the milestone. Click Save Changes.
Note: If the Delivery Owner is different than the Delivery Creator, the Delivery Owner will be notified of their new assigned task. Both the Delivery Owner and Delivery Creator can enter or edit fields for the milestone.
Once saved, the Delivery Owner can continue with the milestone tabs: Details, Documents, Approvals, Submit, Permissions, and Governance Log. The interactions on these tabs are the same as the corresponding tabs for planned activities.
When you close a milestone, it appears in the Milestones table.
Double-clicking a milestone opens it for viewing or editing. While a milestone is highlighted in the table, you can delete it.
Note: An approved milestone cannot be deleted.
