Note: “Task” is a general term for all SurePact assignments, which are sent to relevant parties via email, displayed as notifications, and are listed in your Homepage. This article focuses on grant tasks, whereas the generic term “task” can also refer to assignments from other SurePact deliveries.
Grant tasks are to-do items required to complete the grant application. In the task workflow, the Grant Manager creates the tasks, requests task approval, and assigns tasks to team members.
To get started, click the Add icon at the top of the Grant Tasks table.
In the Grant Task Details popup, choose the task type from the drop-down. Include the task’s due date, the team member assigned as the Task Owner, and task description. If the Task Owner is not you, and the task is ready to be assigned to its owner, click Submit Task to Owner. If you are the task owner, or want to assign the task later, click Save Changes.
Note: Task drop-down options are pre-set. If you need different options, please submit feedback.
Once saved, you can continue with the task tabs: Details, Documents, Approvals, and Governance Log. The interactions on these tabs are the same as the corresponding tabs for planned activities.
As you work through task steps, there are buttons along the bottom. Next enables you to move to the next step in the task; there is a Submit Task button if the task is not already assigned; and there is a Save Changes button.
If you close the task, it appears in the Grant Tasks list. Any selected task can be deleted with the Delete icon, or opened / edited by double-clicking.
All tasks must be approved before moving on. Otherwise, the All Tasks Complete button is unavailable.
For approvers, task approval is done on a task’s Details tab. Click Approve (hopefully!), add an optional comment, then click Submit Approval / Rejection. Be sure to save changes.
Once all grant tasks have been approved, click All Tasks Complete.
Just to be extra sure that you’re ready to keep going, SurePact will warn you that tasks will now be locked. This means no more changes can be made, but you can still access tasks and their details.
Click Yes, and you can now continue with Step 2 – Application Approval.
