To see what’s happening with a contract, first open its project via the Projects summary. Navigate to Stage 3 – In Delivery, find the contract in the list, and double-click any field to open the contract.
Note: Throughout the contract lifecycle, the stages, steps, and fields to which you have access depend on your user role. Also, throughout the contract lifecycle, tasks are created as needed, with emails and notifications sent each time to the relevant users.
At the top of the contract record, you’ll see the project name, workflow progress, and a summary contained within the information bar that includes the Contract Manager, Risk Rating, percent completion, contract funds budgeted and spent, and the contract start and end dates.
At the top right of the page is an icon to refresh data, and a three-dot icon that opens a menu with Print, Clone, and Delete options.
- Print: Prints the summary page, or details on the current page
- Clone: Creates a copy of the contract with identical details. The cloned project lifecycle starts at Stage 2 – Planning / Assessment, but you can edit details of any previous step.
- Delete: Available only for system admins, whose permissions include record deletion. If you need a record deleted, please log a support ticket.
Note: Whereas deleting a contract removes it from SurePact, the more common action is to archive a contract at the end of its lifecycle. Archiving a contract enables you to pull it out later, for future reference.
The contract lifecycle consists of five stages, which are listed along the left.
- Stage 1 – Initiation
- Stage 2 – Planning
- Stage 3 – Procurement
- Stage 4 – In Delivery
- Stage 5 – Review
While in any stage, the workflow steps are listed as tabs across the top. Tick marks indicate a completed step, meaning all required fields are filled in. Clicking a tab opens its step, and you can view or edit fields depending on your user role. Changes can still be made to steps that are marked as complete.
Note: There is no autosave feature currently in SurePact. So as you move through the workflow, look for the Save button. Not all steps require saving but some do!
